Who we are and what this covers

WireTree Digital (Pty) Ltd (“WireTree”, “we”, “us” or “our”) is a digital design and development business based in Cape Town, South Africa. This Privacy Policy applies when you visit www.wiretree-digital.com, submit a project enquiry, contact us by email, telephone or WhatsApp, or engage us to provide services.

For purposes of the Protection of Personal Information Act 4 of 2013 (“POPIA”), WireTree is generally the responsible party for personal information described in this notice. A client may be the responsible party where we process information only on that client’s instructions.

Information we collect

Depending on how you interact with us, we may collect:

• Contact information: your name, email address, telephone number, company and job details.
• Enquiry and project information: service interests, project requirements, correspondence, proposals and feedback.
• Commercial records: agreed scope, contracts, invoices, payments and related accounting records.
• Technical information: IP address, device and browser information, referring pages, server logs and basic website usage data.
• Information you choose to provide: documents, credentials, content or other materials needed to discuss or deliver a project.

Please do not send sensitive personal information through the website form unless it is necessary and we have agreed a secure way to receive it.

Why we use personal information

We process personal information where it is reasonably necessary to:

• respond to enquiries and prepare requested proposals;
• enter into, manage and deliver our service agreements;
• communicate about projects, support and business administration;
• maintain, protect and improve our website and systems;
• prevent misuse, fraud and security incidents;
• keep records and comply with tax, accounting and other legal obligations; and
• send marketing communications where you have consented or where applicable law otherwise permits them, with an option to opt out.

We aim to process information lawfully and reasonably, for a specific purpose, and only to the extent that it is adequate, relevant and not excessive.

Cookies, analytics, forms and website services

The website uses technical resources needed to display and operate the experience. Our enquiry form is processed by Formspree, which receives the information you submit so it can deliver the enquiry to us. Google reCAPTCHA helps protect the form from abuse. Links to WhatsApp, email and third-party project websites take you to services governed by their own privacy notices.

We use Google Analytics 4 to understand visits, approximate location, device and browser characteristics, pages viewed and interactions such as successful enquiries, WhatsApp clicks and portfolio visits. Google Analytics uses first-party cookies, including cookies such as _ga, to distinguish visitors and sessions. We do not configure this implementation for advertising personalisation.

You can restrict, block or delete cookies using your browser settings. Blocking analytics cookies may reduce the accuracy of our website reporting but does not prevent you from accessing the website. Google also provides a browser add-on for opting out of Google Analytics measurement.

Sharing and international transfers

We may share personal information with trusted service providers that support our hosting, forms, email, communication, security, accounting or project delivery. They may process information only for the relevant service and subject to appropriate safeguards. We may also disclose information when required by law, to establish or defend legal rights, or in connection with a genuine business reorganisation.

Some providers may process information outside South Africa. Where cross-border processing occurs, we take reasonable steps to ensure the recipient is subject to a law, agreement or binding rules that provide an appropriate level of protection as contemplated by POPIA.

Retention and security

We retain personal information only for as long as reasonably needed for the purpose for which it was collected, to maintain necessary business records, or to meet legal requirements. Retention periods differ by record type. Information that is no longer required is deleted, destroyed or de-identified where reasonably practicable.

We use reasonable organisational and technical safeguards appropriate to the nature of the information. No internet transmission or storage system is completely secure, so absolute security cannot be guaranteed. If we become aware of a qualifying security compromise, we will act in accordance with applicable notification requirements.

Your choices and rights

Subject to POPIA and any lawful limitations, you may ask us to:

• confirm whether we hold personal information about you;
• provide access to that information;
• correct or delete inaccurate, irrelevant, excessive, outdated, incomplete, misleading or unlawfully obtained information;
• stop or restrict particular processing, including direct marketing; or
• explain a decision based solely on automated processing, where applicable.

We may need to verify your identity before acting on a request. You may also lodge a complaint with South Africa’s Information Regulator through its official channels.

Updates to this notice

We may update this Privacy Policy when our practices, services or legal obligations change. The effective date above indicates the latest revision. Material changes will be highlighted on this page where reasonably appropriate.
